In other words: If you want a thriving practice, show-up like you already have one. Run your sessions on time, record client information, write professional-sounding emails and wear professional-looking clothes. Have simple, adaptable systems in place.

It gives you a good foundation to grow from. For example:

Here are 5 ways you can make sure that your emails are professional + working on your behalf.

  1. Check-in first Clients feel acknowledged when you reach out before a session. Whether with a first-time or ol’-time client, there are many ways to connect: send a warm greeting, provide location/directions, suggest type of clothes to wear, request paperwork to bring, etc. Choose your point(s) of connection, then create a copy-and-paste template you can use for each client. Something that is standard yet personalizable.

  2. Follow-up after – Clients also feel acknowledged when you reach out after a session. Repeat the above, asking yourself: What type of follow-up email can I send? Perhaps you ask how they’re feeling post-session. Or, inquire into the status of the homework you gave them. Or provide information you looked up on their behalf.

  3. Vacation responder Your clients’ aches and issues don’t know when you are out of town. Support their journey in between sessions by setting a vacation reminder. That way, they feel consistently supported, instead of wondering why they haven’t heard from you.

  4. Personalized signatureA signature helps your email look professional. Especially if it includes a confidentiality statement. It also helps drive traffic to you by linking to your website/social media/etc.

  5. Clean copy – You don’t need to be Hemingway here. But you do need to use proper spelling, grammar, capitalization, and punctuation. In other words, edit your words. It may take a minute, but it’s worth crafting a written representation of you that you deserve.
